Hello, is it for design to sale or simply for a step in the process?

Then it depends if it's a spec or if it's for mass production of a new model of the firm.

 

1- Purpose of the contract review

The contract review analyzes the customer's requirements and verifies the company's ability to meet those requirements before committing to providing a product-service or implementing a program or activity.

Contract review is one of the processes necessary for a program to run smoothly. This review can be positioned at different stages of the project depending on the state of definition of the client's requirements and the complexity of the project.

The contract review process ensures that the client's requirements are clearly defined and documented. When the customer has not (or incompletely) formalized its requirements, these are confirmed or completed by the customer at the time of the order before they are accepted by the company.

Any discrepancies between the client's requirements and the company's proposal must be resolved and the responsibilities of each party must be clearly established.

The company will then be able to meet all the defined requirements.

Similarly, these provisions apply when changing the entry data of a contract.

The participants in the contract review are:

  • the client who is the project owner of the program ;
  • the program manager, the technical managers;
  • project control (which participates in the costing and formatting of proposals );
  • the legal and accounting department (which verifies compliance with the rules and financial constraints);
  • the quality manager (who proposes product assurance arrangements where appropriate); 
  • the hierarchy of the departments involved (which checks and validates the proposals).

It's especially in the business follow-up stages to avoid oversights, product errors, input data, etc.

There is no perfect solution, but the principle of the follow-up sheet with all the steps is a big plus. 

In my old "artisanal" company there were problems with the quality and time of making the products available to the end customer.

To improve I made production tracking sheets (with excel) which had to be filled in at each step and then entered electronically. The above serial number obliges, the return sheets in case of non-quality and the definition of the actions if it is study or production to be corrected.

The big problem is the human factor. If a step is not respected, it quickly becomes a mess.

The advantage is that from 80% return on a product we have gone to 1%.

It made it possible to define precisely where the action to be corrected was.

Step 1: Why and how to define a form ?

An identified need

Several cases may require the use of a form, including but not limited to:

  • Issuing a specific request responds to a need to collect information.
  • Writing down a defect or a specific action taken meets a need for traceability and communication.
  • Recording the parameters, steps, actions providing proof of the conformity of a product or service, meets a need for traceability and proof (factual approach).
  • Sending up one or more pieces of information meets a need for communication.

What is a form ?

The form is a recording medium on which various fields are to be completed. This must be built in such a way that the user can understand and report accurate and complete information.

The purpose of a form is to simplify and optimise the traceability and information transmission procedures, by explicitly indicating the information to be displayed so that the procedure is complete and can be processed.

Forms are part of the documentary pyramid of a quality and/or environmental and/or safety management system (see diagram below). These are documents that can be presented in paper format, computerized, etc.
