PDM extracted files

Hello, on our pdm when I click on my nickname it tells me that I have 8 extract files but when I filter from my nickname to see my files I have none. How do you know the name and where would these extracted files be? Thank you in advance.

Run a full search on all the chest, then archived/extracted tab, then you select your name.

I would start the search as an admin to make sure I have all the files.

First of all, thank you for your answer. I launched as an admin and I only see 2 files for the user cco while a priori there would be 8 extracted.

Which version of EPDM?

Under the 2020 I don't have this display of files extracted by the user (or I haven't found it). Where do you get it from?

 

 @ froussel , it's when you hover over a user's name. It's configurable so it's possible that it's not displayed on your environment but from memory it's in place since the SW PDM design change.

Normally there is no error on the number of files extracted (at least on 2020/2021, not tested 2022), there would be no other criteria in the search that would filter part of the result?

I also have problems at home.

Using this query in the EPDM report generator: https://goengineer.sharefile.com/share/view/se4718079b6343c8b/fo956189-6dbe-4a03-a75f-f25b40103fab (it lists the files retrieved by users on a given workstation), I noticed that this query returns many more files than the basic search.

An EPDM search gives me 3 files extracted by my user, the query I linked comes out a good ten more.

 

By rummaging around a bit, I found that some of the files listed by the query correspond to files that have been overridden from the safe. So if we delete a file that is extracted by us, this list of extracted files increases little by little.

Note: the query I attached gives the results for a single machine. I tried to run it with a % to list all the extracted files on all the machines but it crashed my request (it may have taken too long to be processed or it is not cut to have an argument that is not a machine name).

But there is a 99% chance that it will enlighten the person who asked this question.

 

Hello and thank you for your answers. For my pdm I'm in the 2019 version. On the other hand for the query in the generator, is this "Report of checked out files on specific machine.crp"?

 @froussel, I don't have this problem at home on PDM 2021. I personally have 23 extracted files returned by the search tool, displayed when I hover over my name and I have 2 files in the recycle bin of the vault which are therefore not listed.

We have never set up anything at this level.

On PDM 2019, it also doesn't list the extracted files that are in my trash. By the way I also had a question about these files in the trash, can we have a list of all these files simply or do we have to surf from folder to folder and do "show/properties/deleted articles"?

@vspemens: right click on the safe (small blue ball on the side of the windows window) -> properties -> deleted article tab.

You find all the deleted files in the vault

On PDM 2020 I also have  the same number of files extracted by searching or by displaying by hovering over my name. It doesn't take into account deleted articles.

Small clarification for the recycle bin, at the root of the chest you have to check "include items from subfolders" to scan the entire chest. This display does not have an export function.

At home, a very simple rule, we purge at M-2

Thank you @Cyril.f for the checkbox! Strange this problem of not having the same number of files extracted.

 @vspemens For the number of extracted files, you should still take a look at your search map if there is not a default criterion that remains active and hides part of the results (the admin account does not override these limitations). If you still have the original PDM search card, test it to see if the result is the same.

@Cyril.f: Personally I think that the problem only appears when you delete a file from the vault that is extracted.

If we delete a file that is archived, it does not change the counter (which is logical since it counts the extracted files). With us, as long as the file is not validated, it can be deleted -> we can delete extracted files or archived files.

Since you purge your files from the recycle bin regularly, you are less likely to have this kind of problem.

A priori our research is the basic one (v2015 while we have moved to 2020 since then, on the other hand).

@froussel, it would have been probable but not :) The two files I have in the chest recycle bin are files that were extracted but never archived. So maybe indeed the extracted files deleted but it would be surprising (but hey coming from SW nothing surprises me anymore).

The search is only a map and from memory, ours is the basic one (used only by administrators) is that of 2009.

Afterwards, personally I don't use the information too much when hovering over the connection names, I use the search much more.

You should check that the "private state" option is checked
